We realize that planning your Firm Retreat requires much time and effort. HelmsBriscoe takes the labor-intensive time consuming process of locating, evaluating, and contacting the appropriate hotels off your desk.
At HelmsBriscoe, we have the experience, hotel industry relationships and the volume purchasing power to ensure the best possible deal for your firm, at no cost. HelmsBriscoe is paid a placement fee by the hotels, so there is no need to budget for our services.
Securing a Venue with HelmsBriscoe
You provide HelmsBriscoe with your meeting specifications and we create an RFP and send it to the appropriate hotels. When you submit your Meeting Request, Christopher Bragoni will contact you immediately to review and discuss the meeting details.
HelmsBriscoe will prepare and send out the RFP to specific hotels requested, along with other hotels that fit the requirements. Additionally, we will search the HelmsBriscoe database of over 60,000 venues for comments from associates and meeting planners on service levels, physical condition, and rate history. We will also check for exclusive offers only available to HelmsBriscoe clients.
HelmsBriscoe will e-mail a Hotel Summary Report to you within 48 hours. This report is customized to your needs and will outline available hotels, guest room rates, as well as any hotels that were unavailable.
You make all the decisions, HelmsBriscoe makes only recommendations.
After a venue has been selected, HelmsBriscoe will review the first draft of the hotel contract, ensuring that all contractual requirements are met and pertinent contract clauses and concessions are included. You will receive a copy of the contract. HelmsBriscoe will negotiate until both parties have reached a final agreement. The signed contract is returned to HelmsBriscoe.
Upon receiving the final agreement, HelmsBriscoe will make the introduction to the hotel Convention Services Manager that has been assigned to your Retreat. The manager will work directly with you to complete the final details, such as room lists and audio/visual requests.
